GENERAL DESCRIPTION:  
This is reception and clerical support work for the Department of Civil Rights.  Duties include providing information to the public, both in-person and via telephone.  Work characteristically includes intermittent activities, changing priorities and a high degree of attention to detail.   Work is performed under the direction of the Affirmative Action Manager.  Supervision received is direct in terms of specific instruction and may become more general as routine and repetitive duties are learned. 
 
Hours:  8:00 a.m. to 4:30 p.m. Monday through Friday; part-time (0-40 hours/week, as needed).
Depending on the number of applications received for this posting, random selection may be used to determine who moves forward in the process following a screening for minimum qualifications. 
  
EXAMPLES OF DUTIES AND RESPONSIBILITIES: 
Respond to inquiries in person and by phone.  Provide information to the public and refer inquiries to appropriate individuals or other agencies as necessary.  Provide clerical support to the Civil Rights staff.  Draft meeting agenda and minutes, schedule meetings, send mailings, etc. Run mailing labels and job listings and mail to Job Skills Bank participants.  Perform a variety of clerical functions to include data entry, typing, photocopying, etc.  Assist with clerical support activities for the Department of Civil Rights.  Perform related work as required.  
  
MINIMUM QUALIFICATIONS: 
Knowledge of standard office procedures, methods, and equipment.  Ability to perform routine clerical and reception work.  Ability to maintain a high level of public contact and to effectively communicate information in a clear, concise and tactful manner.  Ability to communicate effectively with individuals from a variety of diverse backgrounds.  Ability to perform detail-oriented tasks with frequent interruptions.  Ability to use office equipment effectively including telephones, copiers, fax machines, computers, etc.  Ability to utilize word processing, spreadsheet and data management software (currently utilizing Outlook, Word and Excel).  Ability to perform detailed, consistent, and accurate data entry functions. Ability to accurately perform routine mathematical computations. Ability to establish and maintain effective working relationships with co-workers, supervisors, and the general public. Ability to communicate effectively in writing. 
 Ability to follow oral and written instructions.  Ability to index and alphabetize accurately.  Ability to maintain adequate attendance. 

TRAINING AND EXPERIENCE:
Graduation from high school (or equivalent).  Other combinations of training and/or experience which can be demonstrated to result in the possession of the knowledge, skills and abilities necessary to perform the duties of this position will also be considered. 
  
SPECIAL REQUIREMENTS: 
General office equipment including telephones, copiers, calculators, computers, credit card equipment, fee computer/cash register, scanners, and fax machines. Software programs including word processing, databases, and spreadsheets.
Physical requirements:
Ability to stand for long periods of time at the front counter. 
Ability to sit for long periods of time and work at a computer. 
Ability to bend, squat, and reach forms and supplies in files and cabinets. 
Ability to lift up to 50 lbs on occasion.
 
Hourly employees are eligible to earn sick leave and may qualify for other benefits depending on the number of hours worked.

 of the job announcement . Study guides for general Civil Service exams may be available at the Public Library. Exam results will be available within 3-4 weeks. Due to the volume of exams given by our office, exam scores will not be available by the telephone.
