Hi folks,

Sorry I missed the meeting! I hope I will not be banished, or fined a cow (like
happened to Presideht Mbeki) for the crime.

For your information, I called Sen. Feingold's Middleton office on Fri., Oct.
20, and talked with Jenny Hassemer, Assistant Scheduler. I asked her the
procedures for inviting Sen. Feingold to functions like we are intending, and
she told me the following:

1. We need to send him an invitation indicating:
    a) Who the Senator is going to meet
    b) What we would like him to talk about and/or what the function will be
for
    c) Possible dates for the meeting
2. We can send the invitation to the Senator's Middleton Office, and indicate
that it is for Ms. Hassemers attention
3. Given that we are coming up to the elections, we should aim for the last 2
weeks of November, or the first 2 weeks of December for possible meeting dates.

I told her that I will contact our President, and work with the others he'd
assigned to task of putting together the meeting, and we'll get back to her when
we've sorted out the details. In this regard, I would like to suggest the
following:

1. What will be the nature of the chat? We can have anything from a
full-blown, sit-down dinner to a simple meeting with the snacks and such. It's
really up to us.

2. We at least allow for the Senator to talk about US-Africa relations, and
issues of concern to our community. For your information, Sen. Feingold is a
member of the Senate Foreign Relations Committtee, as well as that Committee's
Africa Sub-Committee. For this reason, he has been very active in US-Africa
relations. It would thus be beneficial to him and us for him to get to meet our
community and get to have a sense of the diversity of the African constituency
in the Madison area. I envisage a give-and-take chat, where we'll follow an
address from the Senator with a question-and-answer session with him. We might
eat, drink, and/or dance after that.

3. We should also decide on a time-frame for having our chat. This way, we can
provide the Senator a number of choices of dates to choose from.

4. Once we have a date, I can work with other members of the Committee assigned
by our President to draft and invitation letter, and send it to the President
for his approval. He can then sign the final version, and send it out
officially. I told Ms. Hassemer at Sen. Feingold's office that I'll call her
after we send the invitation letter to follow-up on it.

5. Given that we would not know exactly what date will work for the Senator, if
at all he'd be able to meet with us, we might think of reserving venue(s) for
the dates we are shooting for. This, of course, assumes that we would have
decided on the format for our meeting with Sen. Feingold, and hence would have
decided on our requirements for a venue.

That's about all that comes to my mind right now. Please send any comments
and/or suggestions you have about how we can go about this so that we can get it
done in the most timely, and effective manner. Have a great week, and best
wishes.

Katim
