EXECUTIVE STAFF ASSISTANTS
Office of the Secretary, Madison

The Office of the Secretary has two vacant Executive Staff Assistants:  one
to provide administrative support to the Secretary and Deputy Secretary; and
one to provide assistance to the Natural Resources Board and its members.
They are both located in downtown Madison.

Salary:  Starting pay is between $34,711 and $40,800 per year depending on
qualifications, plus excellent benefits.  A six month probationary period is
required.  Executive Staff Assistants are in Pay Schedule 81 and Range 04.

Executive Staff Assistant to the Secretary and Deputy Secretary - Provide
complex and confidential administrative support which includes review and
evaluate incoming mail; respond to inquiries from the Secretary's Office,
Administrators and bureau staff; track the status of important issues;
research and compile information, prepare reports, special projects and
responses to correspondence; and act on the Secretary and Deputy Secretary's
behalf when not in the office.  Coordinate incoming and outgoing
correspondence between inter and intra-agency staff and outside agencies;
coordinate appointment calendars, schedule meetings and resolve conflicts
when they occur.  Ensure adequate program support is provided within the
Office of the Secretary and establish work priorities.  Review and modify
procedures to increase the efficiency of office operations.  Identify
security needs and implement security precautions. 

Executive Staff Assistant to the Natural Resources Board - Review and
evaluate materials brought to the Natural Resources Board (NRB), briefing
the Secretary's Office on problems/issues and provide effective
recommendations on how issues should be presented.  Review and edit
department submissions to ensure legal mandates are not compromised or
misinterpreted.  Develop Board agenda considering potential
controversy/length for decision-making.  Coordinate/schedule/monitor Board
meetings.  Serve as liaison to the Chairperson, members of the NRB and the
Deputy Secretary.  Serve as primary contact for the NRB in dealing with
other State agencies, Ethics Board, Governor's Office and legal staff
representing private industry.  Respond to inquiries from Legislators, the
general public, special interest groups, department staff, the press/media,
and other agencies related to Board activities, agenda items, current Board
policy, public appearance request, administrative rule process, and current
and future Board agenda items.

Knowledges, Skills and Abilities:  General office management procedures;
constituent relations principles and protocols; structure and content of the
English language including the meaning and spelling of words, rules of
composition, and grammar in order to compose credible correspondence to the
public, and communicate effectively; and customer service orientation.
Proficiency in computer operations including Windows, word processing, data
base, spread sheet programs, electronic calendaring and the Internet (world
wide web).  Effective communications, networking and organizational agility,
problem solving, planning, relationship and partnership building skills.
Ability to work in teams and with groups, takes action and shows initiative,
and readily adapts to change.
