Bob- I can only speak for Word 2003.  I'm assuming that you're using Avery 8160 labels.  I think your problem is with the labels.  Five lines, even in point 8, is pushing it.  If you go to Tools>Letters and Mailings>Envelopes and Labels>Labels>Avery 8160>Options>Details(these last steps assume you've chosen Avery 8160).  If you get to this point, you can see the default setting for the layout of this label.  You can make certain adjustment to the top, making it a customized label.

The problem here for you is that working with mail merge and labels, your only option is to either print out one label on a sheet or 30 labels of the same name and address on one sheet. 

It's more labor, but I would choose to get a toolbar from Avery for your particular Word version.  You'll have to slug in the names manually (all 5 lines), but if this is a repetitive action, in the future you can just print out the labels on sheets without merging letter to labels.  This option is great for Christmas card lists, in fact any repetitive list.

I've always found it easier to use envelopes on a mail merge (you can set the font and point for return address and recipient).

Subject: Word Mail Merge question

I'm working on a mail list that I received in EXCEL format.  I'm using Word Mail Merge under the Tools menu and have imported the file and converted it for printing on standard 3 X 10 labels forms.  My problem is that using the editor I can't get the labels to fill in all the address information I want to print on the label.  I've used the edit command followed by the Address Block command and even though I've filled in items I want to use under the edit command menu I can't get the 5 lines I want.  I'm trying to print out

Name
Institution
Department
Street Address
City State Zip

I can't get the department line to print. BTW the heading on this line is actually "title" and I've selected that term next to the Department item.   I've tried large and small fonts to see if that is the constraint, but it doesn't appear to be.  Looks as it 8 pt should be able to fit 6 lines easily on the 1" x 2 5/8" labels.  What am I missing?
